Who we are
Digital by Caeris is operated by Caeris Armour, a sole trader based in Northern Ireland. We are responsible for the personal information collected through www.digitalbycaeris.com.
For privacy enquiries or to exercise your data protection rights, email caeris@digitalbycaeris.com.
Information we collect and how we use it
When you submit an enquiry, we collect your email address, phone number, business name and information about the support you require, together with any other details you choose to provide.
We use this information to respond to your enquiry, discuss your requirements and prepare proposals.
Our lawful basis is our legitimate interest in responding to business enquiries and communicating with prospective clients. Where you enquire about entering into a contract personally, we may instead process the information to take steps at your request before entering into that contract.
Providing information is voluntary, but we may be unable to respond without suitable contact details. We do not use enquiry details to send newsletters or unsolicited marketing emails.
When you visit our website, our website and tracking providers may also collect technical and usage information, such as device and browser details, pages visited and interactions with the site.
Who handles your information
We use:
Squarespace to host our website and process enquiry forms.
Google Workspace to receive and manage enquiry emails.
Google Analytics 4 to understand website use.
Meta Pixel to measure advertising effectiveness and support advertising audiences.
These providers process information according to their respective roles and privacy terms. We may also disclose information where required by law.
Some providers process information outside the UK.
How long we keep information
We retain unsuccessful enquiries for 12 months after the last contact, then delete them from our enquiry records, unless there is a specific legal reason to retain them longer.
If you become a client, relevant information is retained for managing our relationship and meeting applicable legal and accounting requirements.
Cookie lifetimes are separate from these data retention periods.
Cookies and tracking
Cookies are small files stored on your device. We use essential cookies to support website functionality and remember your cookie preferences.
With your permission, we also use:
Analytics cookies: Google Analytics 4 helps us understand how visitors use our website.
Advertising cookies: Meta Pixel helps us measure advertising results and may enable Meta to associate website visits with its users and personalise advertising.
We rely on your consent for these analytics and advertising purposes. You can accept, reject or customise these cookies through our cookie banner.
Rejecting optional cookies does not prevent you from submitting an enquiry.
Your rights
Depending on the circumstances, you may have the right to:
Access your personal information.
Correct inaccurate information.
Request deletion or restriction of its use.
Object to processing based on legitimate interests.
Receive or transfer information in a portable format where applicable.
Withdraw consent at any time where we rely on it.
Withdrawing consent does not affect processing carried out lawfully before withdrawal.
Contact caeris@digitalbycaeris.com to make a request or raise a concern. You also have the right to complain to the Information Commissioner’s Office at www.ico.org.uk.
Updates
We may update this policy to reflect changes to our website or how we handle information. The latest version will appear on this page.
